Two ways to be an INefficient writer


Science is often complicated and writing about a scientific topic can be like trying to untangle spaghetti. Writing efficiently can also be a struggle if you are exploring an unfamiliar topic or haven’t had a lot of writing experience. Irrespective of experience, there are two types of writing behaviour that will greatly reduce productivity and confidence.

1. Writing without having a clear understanding of your core topic

Your core topic includes your document aims and objectives and the key problems you are aiming to solve, together with an explanation of how your topic fits within your discipline. Starting to write without a clear idea about the depth and breadth of your topic can be time-consuming. Every scientific topic may be linked to dozens of other sub-topics that at first consideration appear just as important as your original topic. It is often tempting to try and include them and look for a way to link them all together. Without clear focus, it is easy to drift away from your topic and you may not realise that you are actually writing about five topics instead of one.

It can be easy to get distracted from your main story by adding excessive and seemingly, interesting details. Avoid the desire to update the reader with every twist and turn, every exception to the rule, and every related, but not-so-important, detail.

2. Polishing: trying to write perfectly in a first draft

Inefficient writers often start by writing a burst of fresh thoughts and then immediately spend considerable effort rewriting, editing, and proofreading this material before writing a fresh block of text. This is also known as polishing your writing. Polishing in early drafts is an easy trap to fall into when writing on-screen: each time you open a file, it is tempting to first read, review and then re-edit the existing text before writing fresh material. As the document develops, what is written earlier is continually reconsidered, rewritten and re-edited while what is written later receives far less attention.

Polishing in the early stages of writing can be a form of procrastination where you allow yourself to get distracted from the important thinking time and problem-solving needed to design your document.

People often believe that they should be writing perfectly the first time and get frustrated at the seemingly endless amount of time it takes to complete a document. Some people imagine that innumerable drafts and rewrites will be needed and suspect that they will never be happy with the final product. Labouring over a single sentence while thinking you still have 1000 more to write is daunting.

Polishing your sentences is necessary in later drafts when fine-tuning your ideas and improving your message for the reader. Inefficient writers polish early, while efficient writers polish after they have worked out what they want to say.

Can you still be considered a writer if you use AI?


My major concern about the use of AI is if it causes people to stop writing.

Even though writing is often hard and time consuming, it is a fundamental skill that every scientist and science professional needs to learn. Writing is communicating your thoughts and ideas. Through writing, you communicate your understanding and interpretation of science knowledge. If you allow AI to write for you, you allow AI to decide what information to present and what information is the most important. But as a writer, this is your job.

If you rely on AI to choose the words and phrases to express an idea or to write complete sentences and paragraphs, you are giving up your role as a writer. If you use content produced by AI you can never claim it as your own writing. At the very least you need to assign AI as a co-author.

Even if you use AI to rewrite your writing, you are still giving up the crucial decision-making process necessary to refine and rework your thoughts and ideas. If you allow AI to rewrite your work, it will invariably change your writing style to what it decides is the ‘correct’ science writing style. Although you may not like your writing style and want to improve it, allowing AI to change your writing style is still giving up the role of the writer.

If you allow AI to rewrite your writing, it may also change your intended meaning. If you are inexperienced you may be tempted to accept these changes from something that ‘knows more than you do’. But you still need to check if these changes are correct. You need to know why AI has changed your meaning and if AI is using the correct sources. If you don’t fact-check information from AI, then you are simply having faith that AI is right. Even when AI directly cites a research paper, you cannot have faith that AI has interpreted this paper correctly. As a writer, interpreting research papers is your job.

If you are going to use AI to rewrite your writing, you should monitor and critique the changes it makes, by using Word’s ‘track changes’. Then you can review the changes, decide what to keep, what to change, check up or delete.

The obvious reason why you might use AI to write is to save time and effort. However, if you are using AI to write about science facts and research you need to fact-check what AI gives you and to critique AI’s changes to your writing. But this will take the time you were trying to save in the first place – so you may as well do the writing yourself.

If you don’t have the time to fact-check the content AI provides or to critique AI’s changes to your writing, then perhaps you shouldn’t be using AI at all. If you don’t have time to write and to learn how to improve your writing, then you need to be transparent about your use of AI in every document you produce.

The essentials of the Executive Summary


In my writing workshops, I am often asked how to write or structure an executive summary. In this blogpost I list seven frequently-asked questions and my answers. Please note that I provide general advice here and that the exact nature and structure of any report or report sections, including the executive summary, may depend upon many factors including industry or discipline, report type and purpose and target audience.

What is an executive summary?

An executive summary is the section of a technical, scientific or business report report that summarises key features of the project or proposal.

What is the purpose of the executive summary?

The target audience of a report should be able to fully understand, and be able to act upon, the key findings written within the summary without having to read the rest of the report. Readers that rely on a clear, accurate executive summary are often those people who make funding, personnel, or policy decisions and need to assess information quickly and efficiently.

As the executive summary is often the first part of the report, it also has a role of engaging the reader and immediately informing them of the purpose, procedure and findings of the project. If the executive summary fails to engage the reader, the report could be discarded and left unread.

What are the essential components of an executive summary?

An executive summary should contain the essential outcomes or findings of the report that have direct relevance to the practical, operational, managerial or reporting requirements of its target audience. An executive summary should explain the scope of the study, the problems or issues that need to be addressed, how they were assessed and provide the findings and conclusions and recommendations arising from these conclusions.

How should an executive summary be structured?

The executive summary should stand alone and be independent of the report. Firstly, determine if there are guidelines within your organisation or industry or with your stakeholders that dictate the content and structure of an executive summary.  The structure could mirror the structure of the full report, but whether this is necessary might depend upon the type and purpose of the report.

The executive summary should include a brief summary of every section of the report. Depending upon templates and industry guidelines, and upon the length of the summary, headings and bullet points can be used. Avoid presenting too much information as bullet points as this can unnecessarily increase the length of the executive summary.

Depending upon the type of report, the executive summary might include a summary of the following:

  • Project description: project aims and objectives, issues or problems that need solving, outline of who the report is designed for and the client requirements or deliverables.
  • Background:  factors that lead to the development of the current project. What partners or stakeholders are involved and an outline of their requirements.
  • Process or methods: procedures or actions that were necessary to complete the project. How data was collected and assessed or analysed.
  • Findings and conclusions. How, or if, the problems were addressed or solved.
  • Implications and recommendations of findings and conclusions.
  • Who is responsible to undertake recommendations and how outcomes are to be communicated or acted upon.
  • Implications for future work and development of policies.

How much detail should be included in the executive summary?

As key decisions are often made by only reading the executive summary it is imperative that all relevant information is presented. Ensure that any generalisations do not mask important points. In the process of summarising the key findings, it is essential that crucial caveats, stipulations, qualifications or limitations are not omitted. Nevertheless, the executive summary should be as concise as possible yet still provide the minimum amount of information or evidence needed to support the report’s findings, conclusions and recommendations. All conclusions and recommendations presented in the executive must be fully explained in further details in the body of the report. This is especially important in case your reports and other documentation need to be audited in the future.

What information should not be included in an executive summary?

Do not introduce any new information that is not in your report. Avoid using acronyms, in-house terminology or any other words or phrases that your target audience will not be familiar with. Avoid copying sentences and paragraphs from the report into the executive summary: this is not summarising.

What is the optimum length of an executive summary?

The length of an executive summary depends upon the length and purpose of the report. If the report is short, the length might be less than half a page while executive summaries of large reports could be 5-30 pages in length.

How is an executive summary different to an abstract?

Executive summaries are found in all types of reports, including non-scientific documents, whereas abstracts are summaries of scientific or academic peer-reviewed research papers. Readers of reports may act upon the information presented in an executive summary without reading the rest of the report, whereas the abstract of papers provide an overall summary and readers should read the entire paper before making their own interpretations of the study’s findings. This is especially important when citing information presented in a research paper. One should not cite the findings of a research paper after having only read the paper’s abstract.

Twelve common mistakes when writing an abstract


An abstract is typically the summary or overview of a scientific paper, thesis or report. The purpose of the abstract is to give your reader a complete summary of your entire project. As there is a never-ending supply of papers and reports to read, you only have two chances to engage your reader and to convince them to keep reading. The first is the title (and the keywords) and the second is the abstract.

A well-written abstract will maximise the chances of your document being read, understood and even enjoyed. If writing a research paper, a well-written abstract will maximise your publication success. Not only will reviewers appreciate a good abstract, it may be the only part of the paper they are sent when invited to review a paper.

This focus of this article is to highlight what is commonly wrong with abstracts. Please note: The relevancy of some issues raised here might depend upon your discipline or document type. For example, some academic journals do not require abstracts at all or only require a very brief project overview.


These common mistakes are not listed in any particular order and some overlap:

1. Not writing a summary

The abstract should be a complete, succinct summary of your entire project. Summarising is being able to identify and highlight key points using as few words as possible.

2. Not paraphrasing your own work

Paraphrasing is when you use your own words to convey meaning from another source, with the aim of improving clarity. Paraphrasing often includes summarising. One common mistake is to copy entire sentences from different parts of the paper into the abstract. This is not summarising or paraphrasing.

3. Not summarising your entire project

A common mistake is to only include certain parts of the project in the abstract. If your paper is structured into Introduction, Methods, Results and Discussion sections, then your abstract includes a summary of each section, often written as a complete paragraph or with headings. If the abstract lacks key information, for example the aim or the conclusions, the reader may not appreciate the strength of importance of your project and not be convinced to keep reading. Don’t assume your reader will search through your document for this information if they can’t find it in the abstract.

4. Using the abstract as a de facto Introduction or Discussion

After writing important introductory and conclusion explanations in the abstract, some authors then don’t include these details in the body of the document, fearing it will look repetitive. This can happen if the abstract is written before designing the rest of the document. Although drafting an abstract in the early stages of writing is a good idea, it is best to finalise your abstract when you have finished the rest of your document.

5. Including too much (or not enough) background

If the abstract is considered a de facto introduction, too much background may be included. Alternatively, a brief summary of the background might be omitted if the author assumes the audience is completely familiar with the project topic and the background. Never assume your reader knows your topic or project as thoroughly as you do; some of you readers might, but they will still need this information to appreciate what your document is about.

6. Including too many (or not enough) methods

A brief summary of the methods or procedure is important as they are a key component of any project. Given the potential complexity and diversity of a scientific study, it is easy to add too much detail about methods; an example is the unnecessary listing of all data collection instruments and their brand names. The following example from a research paper abstract is a concise summary of the methods. “Methods: We systematically reviewed the literature and meta-analyzed risk estimates from longitudinal studies reporting the association of coronary heart disease (CHD) or heart failure (HF) with risk of dementia.” Wolters F.J. et al. (2018)

7. Not explaining what your results mean

As your abstract should include a summary of all parts of your project, this includes a summary of the discussion or conclusion of your study. Some authors omit interpreting their results, expecting the reader to wait until they have read the entire document. They may not.

8. Including citations, abbreviations and detailed measurements

Standard convention is to avoid writing abbreviations, detailed measurements or citations in an abstract. In some cases, and in some disciplines, it may be difficult to avoid using abbreviations if they are used as terms, are not written in any other format, difficult to write in full or impractical to leave out.

9. Including information not presented in the paper

It may be tempting to include extra information that is not in the rest of the document but this is misleading. Stick to your key aim.

10. Not following the Instructions to Authors of your target journal

A journals’ Instructions to Authors are just that: instructions; they are not suggestions or simply good ideas, nor are they meant to replace a science style guide. Depending upon the extent of this omission, not following a journal’s Instructions to Authors can dramatically increase the likelihood your paper will instantly returned for further changes.

11. Not including keywords

Keywords of your study are essential to ensure that your paper is correctly indexed and so your document will be visible in different search engines. Some authors assume this step is not necessary, assuming that all terms will be visible. Keywords “help promote an article’s visibility within the publications iceberg”.

12. Not giving the conclusion

Sometimes authors leave out the conclusion or the summary of their findings as they expect the reader will then go on to read the entire paper to find the answer. However, if the reader cannot find the answers in your abstract, they may just skip your paper and go onto the next one on their list. Also, leaving out the conclusion goes against the tenet that an abstract should be a summary of the entire paper.


Remember:

  • Don't assume your readers know a little less that you do.
  • Don't assume all published papers have good abstracts.
  • Seek feedback before finalising your later drafts.

11 tips for the struggling ESL science writer


For most people, learning a second language is a struggle, let alone learning how to be a proficient science writer in that language. The following tips and suggestions will help the struggling ESL science writer both identify and tackle common writing obstacles.

1. Don’t aim to learn all the rules of grammar before you start writing

It can take a long time to be proficient in all the English rules of grammar. Even many experienced writers with English as their first language are not proficient at English grammar rules, relying on their innate knowledge of the language when writing. Instead of thinking you need to learn every English grammar rule, concentrate upon the most common grammar errors when learning English as a second language. In a 2017 study, the most common written grammar errors by ESL tertiary students were found to be Subject – Verb Agreement (SVA) and Verb Tense (Singh et al. 2017).

2. Avoid trying to make your English grammatically-perfect in your early drafts

While the final version of your document should be grammatically correct, don’t worry about having perfect grammar before you start or when preparing early drafts. In your first draft, concentrate upon getting your ideas down and ensure you are addressing a clearly defined aim. You can fix up your grammar as you edit and rework your later drafts.

3. Try writing your first draft in your first language

If writing in English is a significant obstacle to getting your thoughts down, try writing your first draft in your first language to allow you to first concentrate upon writing about your topic clearly. Once you are satisfied with the progress of your document, you can then translate your writing into English and also seek assistance from a science editor to help you correct your grammar.

4. Continue with English conversation classes

Science writers who struggle to improve their written English, are also often not yet proficient in spoken English. Continuing with weekly or monthly English conversation classes will not only improve your written English, but will allow you to pick up commonly-used English vocabulary and terminology.

5. Ask a friend or colleague to regularly give you feedback on your spoken English

Normally, friends or colleagues will not correct your spoken English and unless you are continuing your conversation classes, it may take you a long time to learn where you need to improve. Try asking a friend or colleague to regularly give you feedback on your spoken English.

6. Ask a friend or colleague to give you feedback on late drafts of your document

In addition to any editing and feedback you might receive from co-authors, colleagues or managers, try asking a friend or colleague to give you feedback, specifically on your English grammar and word use. This person need not be an expert in English grammar but be ask them to point out any obvious anomalies in your writing. Having someone focus on giving you feedback on your English will allow other colleagues to focus on giving you feedback on the scientific aspects of your work. In return, you could also offer to give feedback on your colleagues’ writing. This will also help you to improve your writing as critiquing the work of other writers allows you to notice areas of improvement you might not see in your own work.

7. Use online grammar exercises to improve your grammar

Grammar textbooks are excellent as reference texts to look up individual rules, while online grammar exercises are a good way to learn how to correct grammar using real examples. Online grammar exercises immediately provide both corrections and explanations.

8. Avoid online forums to learn about grammar rules

Grammar queries that are posted in online forums (for example Quora) are invariably answered by both experts and non-experts and some answers can be incorrect. This makes it difficult to decide which is the correct answer to follow. Also, there are some grammar rules that are more difficult to follow than others, especially if there are many exceptions to the rule; for example, the spelling rule ‘i’ before ‘e’ except after ‘c’. Only refer to reputable grammar websites that are specifically designed for education.

9. Be aware that not everyone agrees about what is correct English grammar

Be aware that not everyone agrees about what is correct English grammar and what is acceptable vocabulary. For example, some experts advise never to use contractions (for example “We’re” instead of “We are”) in scholarly or formal writing, yet contractions do not change the accuracy of the message and are argued to make reading more enjoyable.

Choose 3-5 grammar references that are reputable and written by trained, professional experts and consistently follow their advice. Also aim to follow the standard references and style guides for your discipline and institution.

10. Hire an editor that can explain grammar rules

If appropriate for your circumstances and if you have the resources, hire an editor proficient at explaining grammar and ask them to give you regular feedback on your writing.

11. If using ChatGPT (or other AI programs) use Word's 'Compare Document' feature so you can check what changes have been made

Although ChatGPT might fix most of your grammar errors, just applying its changes won't help you learn to improve your writing. Also, you cannot be sure that ChatGPT won't make mistakes.
